This article addresses the automation of the enrollment process in Higher Education Institutions (HEIs), focusing on efficiency and reliability in the verification of enrollment documents. The study stems from the issue of dependency on manual validations, which directly impacts the productivity of academic offices. The application proposed in this article aims to validate the hypothesis that the use of Artificial Intelligence Generative (GenAI) and automation can optimize the enrollment workflow by reducing errors, processing time, and rework.
The methodology adopted involved mapping the current enrollment process, developing a Proof of Concept (POC) using Large Language Models (LLM – GPT), and creating an integrated interface for uploading, reading, validating, and storing documents. The results indicated that the AI-based approach reduced document verification time by up to 80% and virtually eliminated inconsistencies associated with manual work, demonstrating feasibility and operational gains in the task. It is concluded that the use of intelligent solutions represents a significant advancement in the digital transformation of HEIs, promoting agility, security, and sustainability in the management of students’ academic data.
